A group of about 800 corporate clients of the French company AutoDistribution – a leading worldwide distributor of Automotive parts, accessories and tools – are coming to Cracow to take part in the congress. The event will be held on June 13-14 2009. Its organization, through a tender, was given to event-factory.

The agency will be fully responsible for the event as well as the France-Poland-France hosting. The organization of the conference in Cracow as well as the gala event featuring among others the Art Color Ballet, which will be hosted by Elizabeth Duda, is not the end of the task for event-factory. As part of the currently negotiated agreement eventfactory is to also handle the provision of airplane charters and flights from Paris to Cracow and back for the participants. The agency will also be responsible for organizing a series of special attractions as well as a two day sightseeing program of Cracow and its surroundings.

To fully serve such a large group of people it is necessary to charter several aircraft on three airports in France – Paris, Lyon and Toulouse. It is also necessary to fully coordinate the local bus transportation. The participants will be divided into 12 groups, each under the care of a French speaking guide. Due to the group’s size, reservations have been made at 6 hotels in Cracow. The event will have its own website. Through the website, the guests will be able to confirm their participation in the congress as well as select from a number of activities for the second day of the event. There will be a company help desk in each of the hotels, providing assistance and information throughout the congress. The first day will be filled by the congress itself, which will be held at the Kiev Cinema. After its completion, the participants will be transferred to a banquet held at the Cracow International Fair grounds – the only facility capable of seating 800 persons in a banquet set with catering and stage facilities.

The evening entertainment is to include a pyrotechnic and laser show with a unique scenography prepared by leading Polish scenographers. The event’s program includes performances from groups such as: Kroke, Grupa MoCarta and Art Color Ballet. The second day will feature sightseeing of Cracow and its surrounding area. Due to the group’s size, several alternatives have been prepared. The participants will be able to choose an activity through the congress website. Each sightseeing program will include different attractions, such as a guided tour of Cracow, clubbing tour, shopping tour as well as a field game based on a specially prepared scenario. The program could not be complete without the Wieliczka Salt Mine, a must see for all Cracow conferences and meetings. The organization of conferences and congresses is a very important part of our agency’s activity.
